Data management portal

Data management portal

The data management portal ("DMP") provides the opportunity of managing research data, ensuring their quality and comprehensively describing them with metadata. Operation and functionality are oriented on the needs of data collectors. Structuring is provided by data projects. They combine data sets of various types of data and permit the allocation of access and editing rights. The data recorded in the data management portal can be searched in the Data research portal ("DRP") and, as needed, be publicly presented or made available.

The data management portal supports the administration of the following types of data:

Access the portal via the browser and the address

https://www.intranet.ufz.de/dmp

Since January 2022 it is also possible to register a DOI for archived datasets.

First steps

All data of the portal are organised in so-called data projects. In order to file data or manage them on your own, you need access rights within the corresponding data project.

If a data project already exists which fits in terms of subject matter, you may address its administrator/contact person to be given access. If you need a new data project, you may apply for it to be set up.

Setting up a new data project

Please check beforehand whether there is possibly already a data project which substantively meets your requirements and, if necessary, contact the relevant contact person to obtain access rights. How to find out which data projects are available already – see our FAQ.

A new data project is set up by the WKDV data management team. Please send an email to wkdv-datamanagement@ufz.de and give us the following information:

(all details are required)

Description

The description should define, in the best possible way, a substantive scope of the data project. Other users of the data management portal can read this description.

Contact person

Please indicate at least 2 persons. The nominated contact persons may assign additional persons to the data project and administer the project's access rights.

POF reference

If the data project is related to a third-party funds project or to POF2, we will need its 8-digit POF number.

In case of reference to a budget project of POF3, it will be sufficient to indicate the 3-digit number of the IP. You will find an overview of the POF structure at:

http://www.intranet.ufz.de/pof3

http://www.intranet.ufz.de/pof2

Designation

New data projects will be designated according to a uniform nomenclature.

The designation of a data project with reference to a third-party funds project

POF3 -- IP no. -- IP name -- project abbreviation -- [optional free designation]

In that case, please advise us of the optional free designation, if necessary. We will take the remaining component parts from your information about the POF reference.

The data project has reference to a budget project

POF3 -- IP no. -- IP name -- [Designation of the work package] -- [optional free designation]

In that case, please advise us of the designation of the work package and of an optional free designation, if necessary.

In case of a reference to POF2

POF2 -- cluster no. -- cluster name -- project abbreviation -- [optional free designation]

Additional information for Magdeburg sampling/analysis

  • Short name of the data project (15 characters at maximum)
  • Project term (from / to)
  • Information as to whether sample information in the data research portal should also be visible for persons outside UFZ.
  • Information as whether a sampling evaluation via Lisa.Lims (Magdeburg) takes place

Template for creating a data project

To make it easier to create a data project, download this template, fill it out and attach it to your request. The template contains example data.

Setting up new investigation areas or measuring points

The creation of new investigation areas or measuring locations is currently being carried out by WKDV employees. Please send us the required information using the appropriate template (see below) by e-mail to wkdv-datamanagement@ufz.de.

Measuring points

To set up new measuring points we need the following information for each measuring point:

  • Label
  • Short label (max 10 characters)
  • Geographical latitude of the measurement location in decimal according to WGS84 (EPSG:4326) (-90 to +90)
  • Geographical longitude of the measurement location in decimal according to WGS84 (EPSG:4326) (-180 to +180)
  • Altitude of the measuring point (in metres above NHN)
  • Time zone (related to GMT)
  • Name of the investigation area to which the measuring point is to be assigned
  • Description (optional)

Note

Labels and short labels must be unique and should not yet be available in the data management portal. Under the following link you can see already existing locations in the data management portal: Overview.

Investigation area

If an investigation area does not yet exist in the data management portal, it must also be created. For this we need the following information:

  • Label
  • Short label (max 10 characters)
  • Type (optional)
  • Coordinates of the corner points of the investigation area according to WGS84 (see measuring point)
  • Superordinate investigation area (optional)
  • Description (optional)

Frequently asked questions about data projects (FAQ)

What are data projects?

A data project represents a specific subject and groups together the data connected with it as well as the rights. Generally, the employees assigned to a data project can add new data to the project, peruse them in detail and edit them.

If, within the data management portal, you want to exclusively peruse the data of a specific data project, select the pertinent data project in the upper left area of the page. As of that point in time, you will be in the "context" of the selected data project. If you change between the different components, the data project context is maintained.

How can I change the data project?

Click on the button in the upper left-hand area.

A search screen will appear in which you can use key words to find data projects. Leave the search field blank to find all data projects. Then click on one of the data projects found to select it:

Where can I check which data projects exist?

Proceed as described in How can I change the data project? to access the search screen in order to find data projects. Leave the search field blank to find all data projects or limit the number of hits by entering search terms.

Then click on the info button of a data project to look at its description and the staff responsible for this particular project:

How do I find out the contact persons for a data project?

Proceed as described in Where can I check which data projects exist? to show the information of a data project. The lower area of the appearing info section will list the administrators of the data project available to you as contact persons and who will be able to set up further access rights for you.

How can a new data project be set up?

The procedure is described on page Setting up a new data project in more detail.

How can I set up an area of investigation?

The procedure is described on page Setting up new areas of investigation or measuring sites in more detail.

How can I set up a measuring site?
