Standard Operating Procedure (SOP) for Research Data Management at UFZ

Introduction

The UFZ Data Management Standard Operating Procedures describe routine data management practices to ensure that data are handled consistently and effectively, based on current best practices and standards. The SOP are intended as non-binding recommendations.

Definition

A Standard Operating Procedure (SOP) is a set of step-by-step instructions to help members of an organization to carry out routine operations. SOPs should be followed by the members the exact same way every time to ensure that the organization remains consistent and complies with existing domain standards.

Purpose

The SOP for Research Data Management at UFZ are intended to:

  • enable scientists to apply best practices in data management and FAIR (and open) data creation
  • provide instructions specific to the type of data operation
  • ensure the conduct and quality of research
  • achieve consistency in implementation
  • communicate the procedures to those who will undertake them
  • underpin training
  • form a permanent record of methodology employed.

Contribution

The SOP are drafted by dedicated groups of qualified and experienced UFZ staff. Drafts are made available for review by the institutional community for comments and feedback.

Any employee may suggest enhancements for an existing SOP or suggest the implementation of an entire SOP itself. Feel free to get in contact with us.

Review and Update

All SOPs must be current and fit for purpose, and as such require periodic review. A routine review of each SOP should be conducted every two years. If no changes are required, the review date must be renewed. If the SOP needs to be updated, a new version must be created. In addition, the SOP shall be updated as needed, i.e., upon request.
