Migrating content from elabFTW to Labspace

If you used elabFTW before you have two options to migrate your content to Labspace. For support and questions please contact labspace@ufz.de.

❗If you do not intend to use the new labspace system, you need to store your elabFTW exported files in order to fulfill your good laboratory practice (GLP) for documentation.

Option 1: Use vendors data migration service

Suitable for big amounts of experiments that need to be searchable but not to be edited anymore

In case you have files attached to your elabFTW experiments export them as a zip archive, otherwise export to pdf is sufficient. Put them in a structured folder hierarchy:

Project - Study - Signed/Unsigned Experiments - Data.

Within each experiment, data is organized into sections that can accommodate various data types (e.g. spreadsheets or images), depending on the section's purpose.

  • Project (folder) - the name of the folder is used to specify the project name
    • description (.txt file) - optional file
    • data in file will be used to set the project description (up to 1000 characters); file name required: "description.txt"
    • Study (folder) - the name of the folder is used to set the study name. Project folders
      • should at least contain one Study, but may contain more study folders
      • description (.txt file) - optional file, data in file will be used to set the study description (up to 1000 characters); file name required: description.txt
      • Signed_experiments (folder) - This folder is used to group experiments to be imported into Labspace with a "signed" status.
        • The folder must be named Signed_experiments and should contain at least one experiment folder, though it can include multiple experiment folders.
      • Unsigned_experiments (folder) - This folder is used to group experiments to be imported into Labspace with an "unsigned" status.
        • The folder must be named Unsigned_experiments and should contain at least one experiment folder, though it can include multiple experiment folders.
          • Experiment (.pdf file) - PDF will be uploaded in experiment as contents in a file section
          • Data (folder) - This folder is used to group experimental data files for this experiment (e.g. images, Excel files, etc.). Files will be uploaded into an experiment file section

          Experiment (Folder) - The name of the folder will be used to set the experiment name.

Option 2: Import of specific or individual experiments and protocols

Import protocols

Suitable for SOPs or Templates

To import protols or SOPs you can use the Import protocol feature. It allows users to migrate existing protocols or SOPs into the Protocols module. To start the import, navigate to My Procedures under the Protocols tab and click the Import Protocol button. Further information is available on the support pages

Note: not all items can be included during the migration and must be inserted after the protocol has been created e.g. image files or dynamic fields such as variables and formulas.

Suitable for small amounts of experiments, not completed studies but also SOPs or Templates

As an alternative to using the migration tools, you can also add a new protocol or experiment and copy/paste the content of the original SOP step-by-step.

Experiments in elabFTW can also be downloaded as a zip archive with all linked files. The archive also contains the experiment itself as a pdf file. In Labspace you can add a file section to an experiment. Here you can upload them all at once.
